Introduction
Halcyon Labs Software Automation (ESA) is a boutique consulting firm that helps successful, fast growing businesses become even more successful by increasing their profit margin, and enabling scalable growth through process optimization, custom systems, and automations.
Our clients are established 7 and 8 figure enterprises with service-intensive business models. They are companies who are good at getting clients and making sales, but as they scale, they face challenges in running the back-end of their businesses. They generally have issues with the effectiveness and efficiency of operational processes, systems that should run those processes, and automations, or the lack of them.
This is where we come in. We turn our client businesses from chaos to order and transform their operations into more lean, more profitable, and more automated machines.
We fix process issues by expertly designing and implementing all-round detailed business processes that assure effective and efficient operation in any all relevant business area.
We build and implement custom systems that make sure that all these processes are correctly and efficiently run at all times; and cannot be sabotaged by people, wrong decisions, lack of information, or any other form of human error.
We automate all processes with repetitive logic within our systems with highly detailed custom automations, removing the manual effort on them, and making execution instant.
This is only possible because of our unique approach, which consists of focused and methodical execution, dedicated focus on each client’s specific business goals and circumstances, extreme attention to detail, and in-house developed technology stack and methodology. Our firm does not outsource anything, everything is done by our full-time in-house team, which includes our expert business process re-engineering team and a full-stack technical design and development team.

We vet our prospective clients and work with only mature businesses for whom our services will make a real difference. We ensure that our methodology is always followed and our clients agree to work with it. It is a cooperative client relationship where we focus on the our clients’ business results and also help them define how to achieve these results.
You won’t take system requirements from clients or waste time writing useless reports in this job.
You’ll go in, and you’ll support your clients with advice, direction, and solution recommendations for their business goals and problems. And you’ll execute these recommendations and oversee the implementation into reality.
If you get this job, your responsibility is to actually improve the client’s day-to-day business operation to make them more efficient, more effective, less error-prone, more scalable, and more profitable. You will need to study their business processes, you will need to re-engineer these processes, and you will need to implement these new processes with our custom systems and automations solutions, and then you will need to keep refining the business processes to maximize the results and support our client’s business for the long term.
How Our Organization Works
Our goal with every single project we undertake is improving the actual day-to-day operation of our client business, and doing so quickly.
To achieve that, we operate with a rigorous methodology that considers things holistically and accomplishes excellence in both business processes and technology/systems, without mixing up important business decisions with technical details and deliverables.
First, the process decisions are made based on what is good for the business. This is a thorough process involving both a thorough investigation of current day-to-day operations in the business, as well as conceptual design of new business processes designed to make the operation better.
Then a separate set of technical experts work with you to make very innovative technical solutions that fit those business needs and requirements.
Clear delineation of expertise is enforced and made use of: business experts don’t make technical decisions by themselves and technical experts don’t make business decisions by themselves, but both are accountable to work proactively together, raising and resolving questions or issues until the solutions actually achieve the expected results in our clients’ organizations.
Our Process
Everything starts with investigating our clients’ business situation, business goals, profitability issues, and their perception of challenges and blockers. The goal of this is to interpret and actually understand what the real business issues and their root causes are.
In this we go very deeply in understanding exactly what goes on in our clients’ day to day operations, not only what they think happens there. We investigate records, system logs, numbers, documents, details of processes, and other hard evidence of operations. We interview our client’s staff and other individuals involved in the specific business processes. All this is done so that we can get an accurate picture of what really happens and can understand all the various details and nuances of what happens there. This ensures that we correctly identify the problems and their underlying root causes.
Specific business process solutions are then conceptualized, tailored to solve the root causes. These solutions aim to eliminate inefficiencies and drive achieving the business’s objectives.
They incorporate process organization, waste elimination, process enforcement, manual work automation, quality improvement, conversion efficiency improvement, customer experience improvement, proactive customer retention measures addition, performance management, and/or anything else the business needs to change to overcome its challenges and achieve its objectives.
These business process solutions are then prioritized based on their necessity and business impact.
The priority solutions are worked out in detail and are themselves modeled, simulated, and analyzed to ensure that they will not only solve the actual problem, but will also benefit the objectives of the business overall.
Once the business solution details are decided, we set the requirements for the software and system solutions that will enable these solutions to come to life. Our highly experienced technical design experts work with the business process experts team to design the technical solutions in a way that allow future flexibility, further iterative improvements, and the ability to accommodate changing business needs for long term use.
Our tech is very specific, as we have designed and built our own tech stack to enable us to build custom solutions reliably, while allowing for fast cycles of conceptualizing solutions, building them, implementing them, refining them, and improving the business further. We have a unique combination of custom development with low-code/no-code solutions platforms that allows us to deliver high quality custom solutions much faster than industry average, but without any of the limitations of off-the-shelf systems.
While the technical solutions are being built, we prepare for their implementation into the client’s organization.
We pride ourselves on providing luxury white-glove services to our clients, and implementing the solutions is not an exception to that.
Rolling out a new process, system, and/or automation into a fast paced business needs to be carefully planned and carried out to avoid chaos, mistakes, breakdowns of process or any other negative impact on our clients’ ability to deliver their own services. We ensure that everyone inside and outside of their organization is trained and onboarded to the new processes and systems seamlessly, that any data is migrated and up to date as needed, and that the entire solution and team hits the ground running on the go live date.
Once any new process and systems solution is in use, we don’t stop there. We proactively monitor and measure the performance of the implemented solution and see how successfully it’s resolved the business issues and is driving the business towards its objectives. We make sure our clients also have all the necessary data and information to make strategic plans and decisions about the next steps for their business.
If we find that the solutions have not achieved their desired goals, or discover previously unknown scenarios or issues with it, we improve and iterate the solution until actual results are delivered to our clients’ businesses.
We also use our observations and data to help define the next priority improvements in line with our client’s next most pressing issues or circumstances, and most critical objectives.
We have long term partnerships with most of our clients, where we continue to work with them to optimize and evolve their business as they continue to scale and as their needs change.
This enables our clients to adapt to market needs constantly, innovate, set trends, and stay ahead of their competitors. Our firm will practically function as an extension of their operations for continuous improvement, but with the focused expertise that would be close to impossible and in most cases unprofitable to build in-house.

Role of Business Process Analyst in ESA
In this job, you will be ultimately responsible for creating the results for our clients’ business operations. You will be responsible for the client’s business processes and continuous improvements to their day-to-day business operations.
When you get a new client, it will be your responsibility to thoroughly investigate the client’s day-to-day operations and reconstruct the client’s current business processes. You will examine all their current systems, data, records, documents, communication logs, and other artifacts of their business. You will interview all their key staff, managers, and other individuals. You will conduct other investigation as appropriate.
